Tours booked, members welcomed and memberships kept current for gyms

A gym runs on a steady loop: people ask for a tour, try a class, sign up, and then need to keep coming and keep paying. We build the system that books tours and trials, follows up with people who tried you out, gets the agreement and waiver signed online, welcomes new members, and handles the reminders around failed payments, freezes, renewals and members who stopped coming. Your coaches and front desk stay with the people in the room.

A made-up business, built the way we build real ones: the request comes in, the reply goes out with consent, and the job lands in the CRM.

The whole membership, handled

From the first tour request to a member coming back after a break. Each step runs on its own, follows your rules and the member agreement, and hands off to your front desk when a person is needed.

Email campaigns

Bringing back past customers, every week and every month

Your existing list is worth more than new ads. These emails go out on a schedule to people who opted in, stop the moment someone replies or books, and put the booking on the right calendar.

No prices in email. Freezes, cancellations and billing changes follow the gym's own rules and the member agreement.

Sent only to people who opted in or are existing customers. One-click unsubscribe in every email. Business address in every footer.

Built with the automation behind it

Workflows

How the workflow fits together

A tour or trial request lands in the CRM and gets a time on the front desk calendar. Members who have not been in for a while get spaced-out check-ins that stop the moment they book, reply or opt out.

Texts and consent

What a new lead hears first

Texts only go to people who said yes to texts on your form. The first one arrives within a minute or two of the request, from a number registered with the carriers, and STOP and HELP work the way they should. Outbound calls follow the same rule. Incoming calls are answered, and AI calls are recorded only with consent stated at the start.

Qualifying questions we would start with

  1. 01 What is your main goal right now, such as strength, weight loss or a class routine?
  2. 02 How many days a week do you think you can come in?
  3. 03 Are you most interested in classes, open gym or coaching?
  4. 04 Do mornings, lunchtime or evenings suit you best?
  5. 05 What day works for a tour?

You choose the final questions and wording. Answers are saved to your CRM, and anything the system cannot answer goes to a person.

Common questions from gyms and fitness studios

What can a gym or fitness studio automate?

The steps around each member: booking tours and trials, following up after a trial, sending the membership agreement and waiver to sign online, welcoming new members, booking a first coach session, and the reminders around failed payments, freezes, renewals and members who stopped coming. Your coaches and front desk still run the floor.

Can you handle memberships, freezes and failed payments?

Yes. We connect to the membership software or billing tool you already use. When a payment fails, the member gets a reminder with a secure link to update their card. When a member asks to freeze, the freeze is recorded with a return date and they get a reminder before it ends. Changes such as freezes and cancellations follow your own rules and the member agreement, and your team approves anything outside them.

Can calls be answered after the front desk closes?

Yes. An AI receptionist answers when nobody is at the desk. It says it is an AI, answers questions about hours and classes, and books a tour on the front desk calendar. Calls are recorded only with consent asked at the start of the call, and anything about a member's account goes to your staff.

Who gets texts and emails?

Only people who agreed to them, such as someone who asked for a tour and said yes to texts, or a member who opted in. Texts come from a number registered with the carriers, STOP and HELP work the way they should, and every email has a one-click unsubscribe.

How do we know it is working?

You get a monthly overview and a monthly review call. The overview covers tours booked, trials started, new members, failed payments recovered and members kept, compared with last month, and flags anything that needs a fix. Live dashboards are available when a gym needs them.

What should a gym website include?

A way to book a tour or a trial class, a page for each kind of membership with what it includes, the class schedule, and answers to the questions members ask most. We connect it to your booking and membership tools so every request gets a reply right away, and follow-up goes only to people who agreed to it.
