Showing requests, lead follow-up and tenant requests automated for real estate and property management
Buyers, sellers and tenants expect a quick reply, and many leads take months to be ready. We build the system that answers showing and rental inquiries, follows up for as long as a lead wants, routes maintenance requests to the right person, and keeps applications and move-ins on track.

The website
A website built for real estate teams
Buyers, sellers and renters each come to the site for something different. The site points each of them to the right next step and feeds the follow-up behind it.
01 · Website
Area pages
Pages for the neighborhoods and towns you serve, covering what buyers and renters ask about, so you show up when people search for a place to live.
02 · Website
A form for each visitor
Separate forms for buyers, sellers and renters, so a showing request, a home value request and a rental inquiry each ask the right questions.
03 · Website
Tenant requests and applications
For property managers, a maintenance request form with photo upload that goes to the right person, and a clear link to your rental application.
04 · Website
Connected to long follow-up
Each inquiry lands in your CRM and gets a reply right away. People who are months away get check-ins for as long as they want them, and texts only if they agreed.
Built with the automation behind it
Workflows
How the workflow fits together
Old leads, past clients and open conversations get spaced-out follow-up, and anyone who is ready gets booked. Calls that come in while you are showing a property get answered and logged.
Simulated. Counts in the diagram are illustrative.
Texts and consent
What a new lead hears first
Texts only go to people who said yes to texts on your form. The first one arrives within a minute or two of the request, from a number registered with the carriers, and STOP and HELP work the way they should. Outbound calls follow the same rule. Incoming calls are answered, and AI calls are recorded only with consent stated at the start.
Qualifying questions we would start with
- 01 Are you looking to buy, rent or sell?
- 02 When are you hoping to move?
- 03 How many bedrooms do you need?
- 04 Are you already working with an agent?
- 05 What days and times work for a showing?
You choose the final questions and wording. Answers are saved to your CRM, and anything the system cannot answer goes to a person.
- Hi [First name], this is [Brokerage or property]. Thanks for asking about [address]. A couple of quick questions and we can set up a showing. Reply STOP to opt out.
- Great thanks
- Are you looking to buy, rent or sell?

Why reply speed matters
Published research on following up
7×
Firms that responded to a web lead within an hour were nearly seven times as likely to qualify it as firms that waited longer.
23%
of the 2,241 companies in the same audit never responded to a web inquiry at all.
53%
of mobile site visits are abandoned when a page takes longer than three seconds to load.
Common questions from real estate and property management
What can a real estate team or property manager automate?
Replies to showing requests and rental inquiries, booking showings, long-term follow-up with leads who are not ready yet, routing maintenance requests, sending applications and leases for signature, and lease renewal reminders.
How long does lead follow-up keep going?
As long as the lead wants it. Messages are spaced out over months, stop the moment someone replies STOP, and hand the conversation to an agent as soon as the lead is ready to talk.
Can maintenance requests be handled automatically?
Tenant requests can be collected with photos, sorted by urgency, sent to the right vendor or manager, and tracked until they are closed. Emergencies go to a person straight away.
Does the system screen applicants?
No. It sends the application and moves people through the screening steps your office already uses. Decisions stay with your team, and automated questions stick to logistics such as move date, size and showing times.
How do we know it is working?
You get a monthly overview and a monthly review call. The overview covers inquiries, showings booked, applications and time to lease, compared with last month, and flags anything that needs a fix. Live dashboards are available when a business needs them.
What should a real estate website include?
Pages for the areas you serve, separate forms for buyers, sellers and renters, and for property managers a maintenance request form and a link to the rental application. We connect every form to your CRM so inquiries get a reply right away, and leads who are not ready yet get follow-up for as long as they want it.
