Demo requests, proposal follow-up and client kickoff automated for B2B service firms and agencies

B2B deals stall in two places: between a demo request and a booked call, and between a proposal and a signature. We build the system that qualifies requests before the call, follows up on open proposals, and runs the kickoff once a contract is signed, so your team starts every engagement with what it needs.

What gets handled

The website

A website built for B2B service firms

Buyers read your site before they talk to you, often with colleagues. The site explains what you do in plain terms and turns interest into a qualified call.

01 · Website

Service pages that explain the work

A page for each service, covering who it is for, how an engagement runs and what the client gets, so buyers can share it inside their company.

02 · Website

A demo request that qualifies

The form asks about company size, timing and the problem to solve, so your team knows before the call whether it is a fit.

03 · Website

Booking on the spot

Qualified requests can pick a time on your calendar right away, instead of waiting for an email back.

04 · Website

Connected to proposals and kickoff

Every request lands in your CRM. Open proposals get follow-up until they are signed or declined, and kickoff starts once the contract is signed.

Built with the automation behind it

Workflows

How the workflow fits together

A signed proposal or a paid deposit starts the welcome email, the forms, the kickoff call, the CRM stage and the invoice. Open proposals and past prospects get spaced-out follow-up.

Texts and consent

What a new lead hears first

Texts only go to people who said yes to texts on your form. The first one arrives within a minute or two of the request, from a number registered with the carriers, and STOP and HELP work the way they should. Outbound calls follow the same rule. Incoming calls are answered, and AI calls are recorded only with consent stated at the start.

Qualifying questions we would start with

  1. 01 What prompted you to look for help now?
  2. 02 How big is the team that would use this?
  3. 03 Is there a date you need this in place by?
  4. 04 Who else should join the first call?

You choose the final questions and wording. Answers are saved to your CRM, and anything the system cannot answer goes to a person.

Common questions from b2b services and agencies

What can a B2B service firm automate?

Replies to demo and proposal requests, qualifying questions before the first call, proposal follow-up, contract signing, invoicing, kickoff scheduling, collecting access and assets from the new client, and renewal reminders.

Will automated follow-up put prospects off?

Follow-up is spaced out, stops as soon as someone replies or opts out, and goes only to people who asked to hear from you. Each message is a short note in your voice, written with you.

What happens after a contract is signed?

The welcome email, onboarding forms, invoice and kickoff call go out without anyone retyping details, and the CRM moves the client to the onboarding stage. Missing access or assets get a reminder until they arrive.

Can it connect to our CRM?

Yes, in most cases. We connect through the CRM’s API or webhooks, and when a tool has no built-in connection, we build one.

How do we know it is working?

You get a monthly overview and a monthly review call. The overview covers pipeline by stage, proposals sent and signed, and time to kickoff, compared with last month, and flags anything that needs a fix. Live dashboards are available when a firm needs them.

What should a B2B service firm website include?

Clear pages for each service, a demo or consultation request form that asks qualifying questions, and booking right on the site. We connect it to your CRM so requests get a reply right away, open proposals get follow-up, and kickoff runs once a contract is signed.
